Auburn University strongly encourages the use of the secure document upload link to share documents with Human Resources in a secure and safe manner. When necessary, you will be directed to utilize the secure link to provide copies of documents that contain personal identification information (PII). 

Please use the ID Card Services Secure Documents link to upload a copy of your valid government issued photo ID and current photo. After a successful submission, you will receive a confirmation to the email address you provided. Your document must be in one of the following formats: doc, pdf, txt, gif, jpg, jpeg, or png. Reference the Photo Guidelines at the bottom of this page to review instructions on how to properly upload and submit documents.

Photo Submission Guidelines

Before you submit a photo for your Auburn University ID, please ensure the following requirements have been met:

  • You do not currently have nor have previously been issued an Auburn University Employee ID.  

  • The file size of the photograph is 2 MB or less.

  • The viewable size of a photo is at least 240 x 240 pixels.

  • The photograph is saved as one of the following file types: JPEG, PNG or GIF.

Employee ID Photo Requirements 

  • You must be looking straight ahead in the photograph.

  • Crop the image with full head, front view and your eyes open. (No side profiles!)

  • The photo must be taken with a solid white background only.

  • The photograph must be in color.

  • Eyeglasses that are clear are acceptable. (None that are shaded).

  • No hats, sunglasses or garments of any sort that obstruct the view of your face or the top of your head are allowed.

  • The photo must have been taken within the last six months.

Once the Photo is Submitted

  • Photo submissions are manually reviewed and can take up to three business days to be processed.

  • Employee ID Services will notify you via Auburn University email if your photo is accepted or rejected.

  • The third time your photo is rejected, you will need to have your picture taken within the Employee ID Office located in the Auburn University Onboarding Center. You will not be able to submit anymore photos online.

  • Submitting a photo other than your own is fraud. University policies regarding fraud will be enforced.

  • When picking up your Employee ID Card, you must present a valid government issued photo ID. (Driver's license, passport, military ID).  

Employee ID Services reserves the right to refuse any photos that do not meet Auburn University's requirements.
