The Request for Faculty Appointment without Recruitment or “Prov200” is used to hire individuals on a temporary or part-time basis without recruitment. Most commonly, these individuals are hired to teach for one or two semester. This form is used for new hires and/or rehires on the 9- or 12-month pay schedule. New hires or Rehires must submit official academic transcripts for all post-secondary coursework. Click to download PROV200 Form. For clarity a PROV200 is not a request for a search waiver for a full-time position.

1 : Identify Work to be done

DESCRIPTION: The unit identifies work to be done and identifies a qualified person to do the work. Hiring Unit and faculty member negotiate the scope of work, timeline, and compensation for review and approval.

CURRENT SYSTEMS: Unit determines

DESCRIPTION: Hiring Unit completes the PROV200 Form following the instructions provided on page 2 of the form. Any inactive or new faculty member must submit official transcripts for all post-secondary coursework.

ROLES INVOLVED: Hiring unit’s HR/financial/administrative assistant

CURRENT SYSTEMS: Adobe

DESCRIPTION: The completed PROV200 is routed, in order, to the faculty member’s DHC, faculty member’s dean, Office of the Provost with the appropriate supporting documentation*.

ROLES INVOLVED: Hiring Unit, Faculty Member’s DHC, Faculty Member’s Dean or designee, Provost or Provost’s designee

*Appropriate documentation for inactive, new, or rehires is official transcripts of all post-secondary coursework. Documentation for current AU employees who have previously been approved to teach the scheduled courses isthe PZRFAC2 report from Banner9. Current AU employees who have not taught or are teaching new courses must submit official transcripts of all post-secondary coursework.

When the approved PROV200 is returned to the hiring unit proceed to Step 2 ( Active Employees ) or Steps 3 ( New/Rehires )

2 : For Current, Active Employees

DESCRIPTION: When the PROV200 is approved and returned to the hiring unit, the hiring unit submits an Add F9/P9 Job (Semi-monthly) ADJFAS or AddPF/PM Job (Part-Time Monthly) ADJMPT EPAF. EPAF originator emails the approved PROV200 to all EPAF Approvers, referencing the EPAF Transaction Number.

DESCRIPTION: On or before the end of the approved appointment term, the hiring unit submits a PROV200 ( See Step 1 ) or a Termination (Employee and Job) (TERMEE) EPAF.

CURRENT SYSTEMS: Banner

3 : For New / Rehires

DESCRIPTION: When the PROV200 is approved and returned to the hiring unit, the hiring unit submits a posting in PeopleAdmin. When the posting is Approved for Internal, the hiring unit sends the faculty member the direct link to complete an online application.

CURRENT SYSTEMS: PeopleAdmin, Email

DESCRIPTION: When the faculty member has completed the application, the hiring unit submits a Hiring Proposal in PeopleAdmin. Upload approved PROV200 and appropriate documentation* to the Hiring Proposal.

DESCRIPTION: When the hiring proposal is Approved to Make Conditional Offer, the hiring unit sends the faculty member instructions to complete a Background Check. When the results of the Background Check are complete, the Background Check Cover Sheet is uploaded to the Hiring Proposal and the Hiring Proposal updated to Background Check Complete.

CURRENT SYSTEMS: PeopleAdmin

DESCRIPTION: When the Hiring Proposal status is Hired, the faculty member is assigned an Onboarding Specialist who will manage the onboarding events. Once complete, AU HR will add the faculty member’s job to Banner.
