Nearly 9,000 employees go paperless for Form W-2
For several years, Auburn has encouraged employees to go paperless for their Form W-2.
This simple process allows employees to access their online Form W-2 (wage and tax statement) through AU Access, and then submit it with their tax return. For the past several years, approximately 7,000 employees have chosen to go paperless. Beginning in December, Payroll Services worked closely with OIT, HR Communications, and others to increase that number.
By improving visibility on AU Access, and reaching out to student employees, the number of employees who chose to go paperless for their 2023 Form W-2 increased significantly – from 7,430 in 2022 to 8,902 in 2023 – a 20% increase.
As a reminder, there are several advantages of accessing Form W-2 electronically:

Earlier access to the form, which is in an IRS-approved, PDF format.

No possibility for a lost, stolen, delayed or misplaced form in the mail.

At any time, the employee can access their form at home, at their accountant’s office, or anywhere else.

Access is secure; the forms can only be accessed with AU credentials.

Going paperless promotes sustainability by reducing paper, and is a cost savings (forms, printing, and postage expense) for Auburn University.

Multiple copies can be printed at once.

Triple Focus
Payroll created and updated content for a new TigerTime (Kronos) website to help employees navigate Auburn’s timekeeping system. The website recorded several thousand page views in 2023.
Payroll published two newsletters with content to aid timekeepers, HR Liaisons, and others who have payroll or records responsibilities within their respective units.
Payroll is working with multiple units to test a new timekeeping app that will allow them to clock in and out for their shifts and manage time-off requests. Additional information will be shared with campus over the next few months.
